This position provides administrative support for both the contract administration team and paralegals in the Chicago, IL corporate office. Only Bilingual English/German Candidates will be considered.
ESSENTIAL DUTIES AND RESPONSIBILITIES -Provide general administrative support including typing and editing form legal documents, including agreements, memos and reports, electronically storing and retrieving documents.
- Scheduling appointments, copying, faxing, time and expense reporting, booking of travel arrangements. -Use Microsoft Excel, PowerPoint and Word extensively to prepare professional documents including letters, memos, presentations and spreadsheets. -Create and work with complex Excel spreadsheets and PowerPoint presentations. -Plan and set up meetings, telephone and video conferences, internally and externally. -Plan and coordinate special events occasionally. -Interact with other areas of the firm’s organization via meetings, telephone conference and video conferences to complete projects and assignments. -Manage electronic calendars. -Communicate effectively and professionally with all levels of firm personnel. -Adhere to the highest degree of professional standards and strict confidentiality in matters that require discretion.
- Handle clients, visitors, and all incoming communications with a high degree of efficiency and professionalism.
QUALIFICATIONS AND REQUIREMENTS -High school degree or equivalent. -Minimum of five years of administrative support experience in a corporate environment. -Must have experience supporting multiple managers and projects concurrently. -Excellent verbal and written communication skills. -Ability to prioritize multiple assignments, work well under pressure and adhere to deadlines. -Strong attention to detail. -Ability to take initiative, self directed and results-oriented. -Flexible team player. Basic Qualifications: -5+ years of Administrative Assistant experience. German Speaking.
